Position in Uniondale Long Island and White Plains - Westchester

Handle all incoming calls, using a main switchboard, routes calls to appropriate party. Maintain/update phone list. 3 hrs.
· Greet outside visitors (10 to 12 daily) and provide/maintain log for temporary badges. 30- 45 mins
· Maintain/update welcome messages for incoming visitors. 15 mins
· Sign for incoming and outgoing packages; route to appropriate party. (3 - 8 times daily) 15 mins
· Perform filing, typing and other administrative duties as requested by business units. 2 hrs.
· Assist various departments with mass mailings. Develop and maintain email distribution lists. As needed
· Schedule conference/training rooms. 15 mins
· Receive and route faxes. (Minimum of twice daily) 15 mins
· Set up and maintain kitchen areas and conference rooms, order/receive/stock coffee supplies. 15 mins
· Receive and deliver all incoming mail & packages. Package, affix postage, and dispatch all outgoing mail/UPS/FedEx/inter-office mailings. (Minimum of twice daily) 45 mins
· Log outgoing and incoming items as required and review for accuracy/completeness. 15 mins
· Provide minor maintenance of copy machine such as solving paper jams, placing service calls and routine cleanings. As needed
· Act as point of contact for facilities, IT and other maintenance items where facility coordinator is not on site:

· Assist with monthly and quarterly webcasts. 30 mins
· Conference/training room set ups and order catering as needed. (Twice weekly at minimum)
· Prepare monthly production and volume reports as requested. 1-2 hr
· Locate and retrieve company records as requested. As needed
· Organize and distribute supplies as needed. Verify and log orders upon delivery. Monitor inventory of copy supplies, stock paper and toner and keep supply area neat. 1 hr
· Produce bound copies of work when requested. Deliver and pick up copy jobs. As needed
· Set up phone for new hire, provide name plate, new hire documents, and monitor AED monthly. As needed




·    Physical activity required including bending, reaching, prolonged periods of sitting.

·    May lift and/or move up to 10 lbs.

·    Mental qualifications include ability to perform all responsibilities efficiently and effectively

·    Ability to show positive greetings at all times first impression of company

·    Good organizational skills

·    Personable

High school Diploma or equivalent.

·    3-5 years direct experience as a receptionist

·    3+ years prior experience working in a professional office environment

·    Knowledge of the general aspects of the job with a broad understanding of the detailed aspects of the job.

·    Proficiency using various office equipment.

·    Able to use computer to produce reports (Excel, Word, and PowerPoint).

·    Ability to perform routine and non-routine functions of all office equipment and systems.

·    Involves all contacts from company employees to outside vendors, visitors, job applicants including internet inquiries.

·    Excellent customer service, professional attitude and appearance are a must. Ability to work overtime & meet deadlines.
