Overview

The Facilities Services Supervisor oversees and coordinates daily facility operations and maintenance activities. This role requires autonomous work to ensure comprehensive oversight of all facilities, guaranteeing strict adherence to established policies and procedures. The supervisor will ensure optimal functionality, safety, and efficiency of the facilities, while also achieving high standards of service and operational excellence.

Responsibilities

  • • Perform daily and weekly site walk-through and inspections.
    • Manage inventory and assets.
    • Oversee equipment and supply needs, including furniture, telecommunications, appliances, office equipment, supplies, and climate control.
    • Document processes and maintain maintenance records.
    • Proactively manage facilities requests through service ticketing system through completion.
    • Serve as a liaison between property management, contractors, and vendors.
    • Order and receive office and pantry supplies and maintain inventory across multiple site locations.
    • Act as the primary receptionist for a location with low foot traffic, ensuring a welcoming and professional environment for all visitors.
    • Oversee and assist with mail operations, conference room setups, and special events.
    • Act as a first-line resource in response to customer requests for information and solutions.
    • Interface with client contact, the Canon operations team, and client employees as necessary.
    • Assist with logistics for all meetings, including space assignments, visitor registrations, and equipment.
    • Communicate and interact continually with the Event Planner, Facilities Manager, Security and client contacts regarding high-visibility meetings, large events, space utilization and the overall oversight of the facility.
    • Provide efficient, timely, reliable, and courteous service to customers.
    • Deliver clear communications and progress reports on all aspects of meetings and events.
    • Serve as back up for other members of Facilities team in their absence.
    • Participate in emergency planning.
    • Coordinate and execute relocations of personnel, furniture, and equipment as required.
    • Prepare monthly reports for the Facilities Manager and client contacts.
    • Perform other duties as assigned.

Qualifications

  • High School Diploma or comparable work experience
  • • A minimum of 2-5 years of experience in a lead role supporting facilities operations in a corporate setting.
    • Ability to organize and implement daily operation plans to consistently achieve department goals.
  • COMPUTER SKILLS • Advanced in Microsoft Office Suite applications (Outlook, Word, Excel, Ppt)
    • Tech savvy: able to utilize applications and systems to view data and run reports.
    BASIC QUALIFICATIONS • Demonstrated ability to work independently with minimal supervision.
    • Proven ability to set and meet deadlines.
    • Willingness to work overtime as needed.
    • Exceptional customer service skills with a professional attitude and appearance.
    • Strong organizational and communication skills.
    • Effective communication and collaboration with staff at all levels.
    • Professionalism and strong customer service skills, with regular client interaction, including at the executive level.
    • Advanced problem-solving and decision-making abilities; capable of working with minimal supervision.
    • Competence in managing competing priorities.
    • Professional communication, customer service, and interpersonal skills.
    • Advanced proficiency in MS Office Suite – Outlook, Teams, Word, Excel, PowerPoint
    • Experience in calendar management.
    • Experience with service ticketing software (ServiceNow, Jira Service Management, etc.) preferred.
    • Composure, customer service, interpersonal, negotiation, and conflict resolution skills.
    • Ability to assist with post-meeting reporting and evaluation to improve event effectiveness.
    • Highly organized with strong multi-tasking abilities.

 

PHYSICAL DEMANDS

  • • Must be on-site 5 days per week and able to work extended hours as needed to support projects and events.
    • Strong mental acuity to perform all responsibilities efficiently and effectively.
    • Physical activities include bending, reaching, lifting (up to 50 pounds), and prolonged periods of sitting or standing.
